FosterFlow is an administrative software aid provided by Tarquin Barnsby trading as AgencySoftware.io ("we", "our", "us"). FosterFlow provides AI-powered foster care record-keeping tools including voice dictation and report formatting. FosterFlow is designed strictly as a supplementary organisational tool for UK foster carers and fostering agencies.
FosterFlow is not a certified statutory system of record. The service is provided to assist in drafting records. You are entirely responsible for verifying all facts, AI-transcribed notes, and generated content before submitting them to your Local Authority, Ofsted, or Fostering Agency.
FosterFlow’s audio recording capabilities are strictly for the purpose of personal dictation. You are explicitly prohibited from using the application to covertly record children, social workers, meetings, or ambient household interactions. Tarquin Barnsby trading as AgencySoftware.io accepts zero liability for privacy violations, wiretapping claims, or breaches of trust resulting from unauthorized ambient recording.
FosterFlow utilizes generative Artificial Intelligence (AI). You acknowledge that AI systems can hallucinate, omit, or distort facts. You accept 100% legal authorship over any report generated or assisted by FosterFlow. You explicitly waive any right to claim defamation, professional damage, or loss of income against FosterFlow resulting from unverified AI transcriptions submitted to a regulatory body, agency, or social worker.
FosterFlow is a passive data recording system. We DO NOT actively monitor, flag, or report content for imminent harm, safeguarding risks, or criminal activity. In any emergency, users must immediately contact emergency services (e.g., 999) or their Local Authority Safeguarding Lead. We accept no liability for a failure to trigger safeguarding interventions based on data entered into this platform.
You acknowledge the extreme sensitivity of the Special Category Data stored within FosterFlow. You are entirely responsible for securing your device and logging out after use. We accept zero liability for any psychological harm or privacy breaches resulting from a foster child, biological child, or unauthorized household member accessing an unlocked graphical interface left unattended.
All analytical metrics generated by the platform (including Burnout Scores, Risk Levels, and Stability Indices) are strictly advisory metadata designed to prompt human review. By using FosterFlow, Fostering Agencies legally agree that they will NEVER use platform analytics as the singular basis for any employment, safeguarding, or contractual decisions against a carer. A human supervisor must strictly govern all actions.
FosterFlow provides software infrastructure, not identity verification. We perform ZERO Disclosure and Barring Service (DBS) checks, professional verifications, or licensing audits on our users. It is the absolute, non-transferable responsibility of Fostering Agencies to verify the identity and credentials of any staff, carers, or social workers they invite into their digital workspace.
Due to the Special Category nature of the data, FosterFlow provides the capability for Multi-Factor Authentication (MFA). You agree that you are solely responsible for maintaining robust password hygiene and actively enabling MFA. FosterFlow accepts zero liability for data compromised due to credential stuffing, weak passwords, or the failure to properly secure your account.
You retain 100% intellectual property rights and sovereignty over all unstructured text, audio logs, and images entered into the system. FosterFlow claims zero ownership over the lived experiences of carers and children. We only license the data technically required to display your interface and process your requested AI generations.
You agree to indemnify, defend, and hold harmless Tarquin Barnsby trading as AgencySoftware.io against any claims, losses, liability, or legal fees (including Ofsted investigations or statutory inquiries) arising out of your misuse of the platform, inaccurate record-keeping, breach of these Terms, or failure to verify AI-assisted output.
FosterFlow is provided "as is". While we take standard measures to ensure compliance with Data Protection Laws, we are not liable for any losses arising from service interruptions or data inaccuracies. To the maximum extent permitted by UK law, our total aggregate liability arising out of this agreement is limited strictly to the amount you have actually paid to us in the preceding twelve (12) months.
FosterFlow operates on a subscription model processed securely via Stripe. You may cancel at any time from your account settings — your access continues until the end of your billing period. Founding Carer pricing is locked at the rate shown at signup for the lifetime of your continuous subscription.
